A few things that make these work well: - The heads-up email should feel like a courtesy, not an announcement, short and warm. - The actual out-of-office needs one clear action per urgency level (booking link for urgent, contact/FAQ for questions), more than that gets ignored. - The "I'm back" email works best with a small thank-you or gesture, it's a re-engagement moment, not just a status update. A few things to keep in mind: - One click isn't a strong signal, look for a pattern (2-3 clicks) before calling it real interest. - Keep segment names plain and specific, so I still know what they mean in six months. - Say what each segment should get differently, otherwise the segment is pointless. Here's what people have been clicking in my last few campaigns: [describe the links/topics, e.g. "pricing page", "a specific product", "the blog post about X"]. Group these into 3-4 interest segments, name each one, and suggest one email or offer that fits each group better than a generic send.

A few rules for how to handle it: - Only surface something as "urgent" if it's a genuine outlier, a normal quiet day isn't urgent, don't cry wolf. - Round numbers for readability, I don't need decimal points on visit counts. - If a metric looks off or data is missing, say so plainly rather than guessing or smoothing it over. - If you pause or change anything, tell me clearly what you did and why, I want a paper trail, not a surprise. Pull my key business numbers from Windsor.ai (visits, bookings, revenue, ad spend across Meta, Google, LinkedIn, and Bing) and build me a one-page dashboard. I'm on holiday this month, so if a campaign is clearly overspending or underperforming, go ahead and pause it yourself and tell me afterwards, don't wait for me to approve every small thing. You're helping me handle overdue invoices from B2Brouter. Some things to keep in mind: - Tone should escalate gradually: friendly nudge under 14 days, clearly firmer past 30, but never aggressive, I still want to work with these clients. - Always leave room for the invoice being wrong or already paid, "if this has crossed in the post, ignore this" style framing avoids awkwardness. - Flag anything unusually large or unusually old separately, those deserve a phone call, not another email. Here's my list of overdue invoices, exported from B2Brouter: [paste client name, amount, days overdue for each]. For each one, tell me how urgent it is, and draft the right reminder email for that stage.

🔌 How to connect Metricool and Canva to Claude

  1. In Claude, open Settings, then look for Connectors (or tap the tools icon in a chat).
  2. Search for "Metricool" in the connector list, click "Add custom connector," paste https://ai.metricool.com/mcp as the URL, then log in and authorize access to your account.
  3. Do the same search for "Canva" and connect it too.
  4. Start a new chat and just describe what you want. Claude will offer to use Metricool or Canva when it's relevant, you don't need to name them yourself.
  5. The first time Claude tries to schedule a post or create a design, it will show you exactly what it's about to do and wait for your confirmation before anything goes live.

Once both are connected, you can do the rest from your phone, in one chat.

🎓 Learning skill: design and caption a post in one prompt
You're helping me put a post together while I'm out and about. A few things that make this work well: - Keep the Canva graphic simple, one focal point, on-brand colours and fonts, nothing text-heavy that won't read on a small screen. - Captions should sound like a person noticed something, not a brand announcing something, lead with the observation, not the pitch. - Always show me both before scheduling anything, I want the final say. I spotted a trend/moment worth posting about: [describe it in a sentence]. Task 1, the graphic: create a simple Canva design using my brand kit, colours, logo, and fonts: [your brand details]. One clear focal point, nothing crowded. Task 2, the caption: write a short Instagram caption about it in my usual tone (friendly, not corporate), under 150 characters. Show me both, then wait for my OK before doing anything else.
🎓 Learning skill: schedule the week's posts
Once I've approved a batch of posts, use this to get them onto the calendar: Here are this week's approved posts: [paste the captions, or say "the ones we just made"]. Schedule each one in Metricool at [my usual posting times, or ask me for the best time per post]. Confirm the day and time for each one before you schedule it, and tell me once everything's on the calendar.

Make it run itself

Everything so far still needs you to open a chat and ask. Claude can also work without being asked, on a schedule you set once, using Scheduled Tasks inside Claude Cowork (the desktop app). Same connections you've already made, running on autopilot. This is a newer feature, so check Claude's current setup steps if anything here looks slightly different by the time you read this.

🔌 How to set up your first scheduled task

  1. Open Claude Desktop and switch to the Cowork tab, this feature currently lives there, not the regular web chat.
  2. Make sure the tools you want it to use, Windsor.ai, Flexmail, Metricool, whichever applies, are already connected, the same connectors from earlier in this guide.
  3. Create a new scheduled task, paste one of the prompts above, and set how often you want it to run.
  4. Claude will show you what it's about to do the first time it runs, after that it keeps going on its own schedule.

This needs Claude Desktop and a paid plan, and currently runs locally, so your computer needs to be on and the app open for it to fire reliably.

Is my data safe if I connect these tools to Claude or to each other?

Connections are opt-in and you approve each one yourself. Claude shows you what it's about to do, publish, schedule, or send, and waits for your confirmation first. Nothing happens silently in the background.

Do I need to pay for any of this?

No. Every tool in this guide has a genuinely usable free plan. The "upgrade" notes are there for later, if and when you outgrow it, not a requirement to get started.

What if I get stuck?

Each tool has its own help centre and support docs, start there before worrying about anything more advanced.
